Terms and Conditions

By using Velarde Tours services, you accept the following terms and conditions that govern the commercial relationship with our travel agency.

1. GENERAL INFORMATION AND ACCEPTANCE

These Terms and Conditions regulate the legal relationship between Velarde Tours (hereinafter, "the Agency") and the User or Client (hereinafter, "the Client") who acquires tourist services offered through our website, digital platforms or service channels.

By making a reservation, booking a tour, tourist package or any other service offered by Velarde Tours, the Client expresses full and unconditional acceptance of these Terms and Conditions. If the Client does not agree with any of these terms, they must refrain from using our services.

Velarde Tours is a duly registered travel agency in Peru. The business name, RUC and fiscal address are available for consultation on our website.

2. SERVICES OFFERED

Velarde Tours offers the following services:

  • Sale of individual and group tours;
  • Customized tourist packages;
  • Hotel and accommodation reservations;
  • Tourist transport (land and air);
  • Tour guide services;
  • Travel advisory and planning;
  • Other tourism-related services.

Descriptions, itineraries, prices and conditions of each service published on our website are informational and may be modified by the Agency without prior notice, regarding operational details that do not affect the essence of the contracted service.

3. RESERVATION PROCESS

The reservation process begins when the Client makes a request through our website, email, phone or any of our service channels. The reservation request does not constitute automatic confirmation.

Once the request is received, Velarde Tours will verify the availability of the requested service and send the Client, via email, a service proposal with the details of the itinerary, price, payment conditions and applicable policies.

The reservation is considered confirmed only when the Client makes the total or partial payment according to the established conditions and Velarde Tours issues the corresponding reservation confirmation in writing. Until that time, all services are subject to availability.

The Client is responsible for providing truthful, complete and updated information required for the reservation management (personal data, identity documents, preferences, special needs, valid contact information).

4. PRICES AND PAYMENTS

Prices published on our website may be expressed in soles (PEN) or US dollars (USD), as indicated. Prices include the services specifically detailed in the service proposal and do not include personal expenses, tips, optional insurance, or any service not expressly mentioned.

Payment methods:

  • Bank transfer: to the bank accounts informed by Velarde Tours;
  • Credit/debit cards: Visa, Mastercard, American Express (subject to validation);
  • Electronic payment platforms: PayPal, Mercado Pago or others indicated;
  • Office payment: cash or card at our offices.

Payment conditions: an initial payment (deposit) of at least 50% of the total value of the service is required to confirm the reservation. The remaining balance must be paid before the start date of the service, according to the conditions indicated in the proposal. Failure to make payment may result in automatic cancellation of the reservation without the right to refund.

Prices are subject to adjustments due to exchange rate variations, tariff increases by suppliers (hotels, transportists), inflation or other factors beyond the control of Velarde Tours. In case of significant increase, the Client will be informed in advance.

5. CANCELLATION POLICIES

The Client may cancel their reservation by formalizing the request in writing (email to info@velardetours.com). The applicable cancellation policies are:

  • Cancellation more than 30 days before: 100% of payments made will be refunded, less administrative expenses (5% of total value);
  • Cancellation between 15 to 29 days before: 50% of payments made will be refunded;
  • Cancellation between 7 to 14 days before: 25% of payments made will be refunded;
  • Cancellation less than 7 days before: no refund;
  • No-show: no refund.

Specific cancellation policies may vary depending on the type of service and supplier conditions. These will be informed to the Client at the time of reservation confirmation.

In case of cancellation due to force majeure (natural disasters, health emergencies, political instability), Velarde Tours will evaluate each case individually to offer alternatives such as rescheduling, credit for future services or partial refund.

6. REFUND POLICIES

Refunds will be processed within a maximum period of thirty (30) business days after the cancellation is approved. The refund will be made through the same payment method used by the Client, unless otherwise agreed.

All refunds are subject to verification and approval by Velarde Tours. In case of credit card payments, the refund will be processed through the same card and will depend on the timeframes of the financial entity.

Velarde Tours is not responsible for refund delays caused by financial entities or payment intermediaries.

Refunds for services not used by the Client's decision (without formal cancellation) do not apply.

7. RESCHEDULING AND CHANGES

The Client may request the rescheduling of their reservation (date change) at least 15 days in advance, subject to availability. The following charges will apply:

  • Request with more than 15 days: charge of $50 USD or equivalent for administrative expenses;
  • Request with less than 15 days: charge of $100 USD or equivalent, plus tariff differences;

Rescheduling is subject to availability of the service on the new requested dates. If there is no availability, the cancellation policies will apply.

  • Try to offer alternative or alternative routes;
  • Inform the Client about the situation and available options;
  • May reschedule the service without additional charge, subject to availability;
  • If no alternative is possible, partial refund will proceed according to evaluation.

The Client is responsible for informing themselves about travel conditions to the destinations of their choice, including visa requirements, vaccines, documentation, safety conditions and travel recommendations issued by Peruvian authorities.

Velarde Tours can advise on documentation requirements, but does not guarantee the obtainment of visas or documents. The Client must independently verify the requirements with the competent authorities.

In case the Client cannot travel due to lack of required documentation, regular cancellation policies will apply.

11. CLIENT CONDUCT

The Client commits to:

  • Behave respectfully with suppliers, guides and other passengers;
  • Respect safety rules indicated by suppliers;
  • Care for facilities, equipment and property provided;
  • Refrain from conduct that may put the group's or their own safety at risk.

Velarde Tours and/or suppliers reserve the right to expel a Client whose conduct is disruptive, dangerous or who violates established rules, without the right to refund.

12. DATA SECURITY AND PROTECTION
